The ground rules for planning and booking travel with our consultants, in plain English: what we do, what suppliers control, how fees and payments work, and what we ask of you.

Terms at a Glance

The short version. The full terms below are what apply.

  • We plan and coordinate your trip; airlines, hotels, cruise lines and tour operators provide the travel under their own terms.
  • Any planning fee is disclosed in writing before work begins, including what it covers and whether it is refundable.
  • Prices are confirmed only once booked, and deposits and final payments follow supplier deadlines.
  • Changes and cancellations follow supplier rules, which can include penalties.
  • You are responsible for accurate names and valid travel documents. We strongly recommend travel insurance.

Acceptance of These Terms

These Terms & Conditions (“Terms”) are an agreement between you and GrammarVista.com USA (“GrammarVista,” “we,” “us” or “our”). By using grammarvistas.com, sending us a trip request or asking a travel consultant to plan or book travel for you, you agree to them. If you don’t agree, please don’t use our website or services.

A trip may also come with a written proposal. If it conflicts with these Terms, the proposal controls for that trip. Our Disclaimer and Privacy Policy also apply.

Our Services

GrammarVista.com USA is a travel consulting service for people who live in the United States. Our travel consultants research options, prepare a personalized itinerary and, once you approve it, make the reservations. See our services for the custom vacations, honeymoons, family trips, group and corporate travel, and cruises and tours we plan.

We don’t operate airlines, hotels, cruise ships, tours or activities. Independent third-party suppliers provide them, and your contract for each service is with that supplier under its own terms, such as an airline’s contract of carriage or a cruise ticket contract.

Eligibility

You must be at least 18 years old and able to enter into a binding contract to use our services. Children may travel on trips booked by a parent, guardian or other responsible adult.

If you book for others, such as family, a wedding party or colleagues, you confirm that you may act for them and share their information, and you agree to pass these Terms along. Unless we agree otherwise in writing, the person who books is responsible for payments on the whole booking.

Planning Fees

Whether a planning or service fee applies depends on the type and complexity of your trip. If one does, we will tell you in writing before any work begins. Your written proposal will spell out:

  • The amount What the fee is and when it is due.
  • What it covers Consultations, research, itinerary drafts, revisions, booking coordination and trip support.
  • Refundability Whether any part is refundable, and under what circumstances.

Refunds of planning fees follow the terms in that written proposal. A planning fee is paid to GrammarVista.com USA and is separate from the prices suppliers charge for your travel. We won’t add charges you haven’t agreed to in writing.

Bookings and Payments

Prices and Availability

Quotes reflect the prices available when we prepared them. Suppliers control their own rates, so prices, availability, taxes and fees can change until booking. A price is confirmed only once the booking is completed and the supplier accepts your deposit or payment, and we always ask for your approval first.

Deposits and Final Payments

Most suppliers require a deposit to hold a reservation and final payment by a set date, often well before departure for cruises, tours and groups. We’ll tell you each deadline and send reminders, but meeting it is your responsibility, and a missed payment can lead the supplier to cancel and keep your deposit. Payments are generally charged by the supplier, so your statement may show its name. Please don’t email card numbers; your consultant will explain how to pay securely.

Changes and Cancellations

Changes or Cancellations by You

Please request changes or cancellations by email. Once travel is booked, supplier rules apply: many rates are partly or fully non-refundable, penalties often rise closer to departure, and most airline tickets can’t be transferred to another name. We’ll point out key cancellation terms before you book. Any refund of a planning fee follows your written proposal.

Changes or Cancellations by Suppliers

If a supplier changes a schedule, alters a cruise itinerary or cancels a service, we’ll let you know once we learn of it and help you review the supplier’s options. Remedies are set by the supplier and the law. For example, federal rules may entitle you to a refund when an airline cancels or significantly changes your flight, as the U.S. Department of Transportation’s Aviation Consumer Protection site (opens in a new tab) explains.

Changes or Cancellations by Us

We may decline or stop work on a trip if a request is unlawful or unsafe, information you give us is false, amounts owed to us go unpaid, or a traveler is abusive toward our consultants or suppliers. If so, we’ll tell you in writing, help you reach suppliers about existing bookings, and handle any planning fee as your written proposal provides.

Traveler Responsibilities

Some details and documents only you can provide. You are responsible for:

  • Accurate information. Complete, correct details for every traveler, including any accessibility, medical or dietary needs you want suppliers to know about.
  • Names that match IDs. Names on bookings must match each traveler’s government-issued ID or passport, which airlines use for TSA Secure Flight screening. Corrections can be costly or impossible.
  • Valid ID and passports. Adults need a REAL ID–compliant license or other acceptable ID for domestic flights; see the TSA’s REAL ID page (opens in a new tab). International travelers, including children, need a valid U.S. passport (opens in a new tab), and some countries require six months of remaining validity.
  • Visas, vaccinations and entry rules. Each country sets its own requirements, and they change. Check the State Department’s travel advisories and country information (opens in a new tab), consider enrolling in STEP (opens in a new tab), and review the CDC’s Travelers’ Health pages (opens in a new tab) for vaccines and precautions.
  • Insurance. Deciding whether to buy travel insurance, as described below.
  • Reviewing confirmations promptly. Check every confirmation and itinerary when you receive it and report errors right away, since some corrections are free only for a short time.

We share the requirements and deadlines we know about, but government rules are the final word, and costs from being denied boarding or entry are not refundable by us.

Travel Insurance

We strongly recommend comprehensive travel insurance, especially for international trips, cruises and large non-refundable deposits. Depending on the plan, it can cover trip cancellation and interruption, medical care abroad, emergency evacuation, delays and lost baggage. Many U.S. health plans offer limited coverage abroad, and Medicare generally doesn’t cover care outside the country.

We can explain options worth considering, but the insurer decides coverage and claims, so read the exclusions before you buy. If you decline insurance, you accept the financial risk of losses it would have covered.

Supplier Liability and Force Majeure

Suppliers are independent businesses. We choose them with care, but we don’t own or control them and are not responsible for their acts, errors, omissions or insolvency, or for the safety or condition of their services and facilities. Their liability may be limited by their own terms and by treaties such as the Montreal Convention for international air travel.

We are also not responsible for failures or delays caused by events beyond our reasonable control, such as severe weather, natural disasters, epidemics, strikes, civil unrest, war, terrorism and government actions. If one affects your trip, we’ll help you work through the supplier’s options; refunds depend on supplier policies and your insurance.

Disclaimer of Warranties and Limitation of Liability

We plan every trip with care, but travel information changes quickly. Our website and its general travel information are provided “as is,” without warranties of any kind, to the extent the law allows. Our Disclaimer explains more.

To the fullest extent permitted by law, GrammarVista.com USA is not liable for indirect, incidental or consequential damages, such as lost vacation time, arising from our services or website. Our total liability for any claim about a trip is limited to the planning fees you paid us for that trip.

Nothing in these Terms limits liability that cannot legally be limited, including for our gross negligence, fraud or willful misconduct, or rights under consumer protection laws that cannot be waived.

Indemnification

You agree to indemnify and hold harmless GrammarVista.com USA and its owners, employees and contractors from claims, losses and reasonable costs, including reasonable attorneys’ fees, resulting from your breach of these Terms, your violation of any law or third-party right, or inaccurate or unauthorized information you give us. This does not apply to the extent a claim is caused by our own negligence or misconduct.

Website Use

You’re welcome to use our website to explore our services and send trip requests. Please don’t:

  • submit false information, or someone else’s details without their permission;
  • send spam or automated submissions through our forms;
  • attempt unauthorized access, disrupt or overload the website, or introduce malware;
  • scrape content by automated means, other than search engines indexing public pages;
  • use the website for any unlawful or fraudulent purpose.

We may restrict access for anyone who misuses the website.

Intellectual Property

This website’s text, design, illustrations and logo, and the GrammarVista name, belong to GrammarVista.com USA or its licensors and are protected by U.S. copyright and trademark laws. You may view and print pages for personal, non-commercial use. Proposals and itineraries we prepare are for your personal use; share them with your travel companions, but please don’t republish or sell them.

Privacy

Our Privacy Policy explains how we collect, use and protect personal information, including the traveler details we share with suppliers to make and service your bookings. By using our website and services, you acknowledge that we handle your information as it describes.

Our website links to sites we don’t control, such as the U.S. Department of State, the TSA, the CDC and travel suppliers. A link doesn’t mean we endorse a site, and we aren’t responsible for its content or practices. Each site’s own terms and privacy policy apply.

Dispute Resolution and Governing Law

If something isn’t right, please email us first. We’ll work with you in good faith to resolve it informally, and when the issue lies with a supplier, we’ll help you use its complaint process.

These Terms are governed by applicable federal law and by the law of the state where GrammarVista.com USA maintains its principal place of business, which we identify in your written proposal and booking documents, without regard to conflict-of-law rules. Either of us may bring a qualifying claim in small claims court. Nothing here removes any protection under your home state’s consumer laws that cannot be waived.

Changes to These Terms

We may update these Terms as our services or the law change, and we will revise the “Last updated” date when we do. Updates apply from the date they are posted, but the Terms in effect when you accept a written proposal continue to govern that trip unless you agree otherwise or the law requires. If any part of these Terms is found unenforceable, the rest remains in effect.
