Who We Are
GrammarVista.com USA (“GrammarVista,” “we,” “us” or “our”) is a travel consulting service for people who live in the United States. Our travel consultants plan custom vacations, honeymoons, family trips, group and corporate travel, cruises and tours, then coordinate the bookings once you approve the plan. This policy explains how we handle personal information when you visit grammarvistas.com, use our trip planning form, email us or work with a consultant. “Personal information” means information that identifies you or could reasonably be linked to you or your household.
Information We Collect
Information You Provide
When you use our trip planning form, email us or talk with a consultant, you may give us:
- Contact details: your name, email address, phone number and, when needed, mailing address.
- Trip preferences: destinations, dates, number of travelers, budget, interests, hotel style and celebrations.
- Traveler details needed to book: each traveler’s full name as it appears on their ID, date of birth, gender as airlines require, passport details, and Known Traveler, Redress or loyalty program numbers.
- Special requests: dietary, accessibility or medical needs you choose to share, plus room and seating preferences.
- Other details: emergency contacts and the content of your messages with us.
We ask for passport details and dates of birth only when a booking requires them. If you share details about other travelers, such as your children or group members, please make sure they are comfortable with that.
Information Collected Automatically
When you visit our website, we automatically receive technical information such as your IP address, browser and device type, the pages you view, the site that referred you and the time of your visit. We may infer a general location from your IP address. Some of this comes from cookies, described in Cookies and Analytics.
Information From Travel Suppliers and Others
Airlines, hotels, cruise lines, tour operators and travel insurers send us confirmations, schedule changes and other updates about your arrangements. We may also receive your details from someone who books a trip that includes you, such as a family member, group organizer or employer.
How We Use Your Information
We use personal information to:
- Reply to your inquiry and prepare proposals and itineraries tailored to you.
- Make, change and manage reservations with travel suppliers once you approve them.
- Send confirmations, itineraries, document reminders and service messages such as schedule changes.
- Support you before and during your trip, and handle planning fees and invoices.
- Send occasional travel ideas where you have agreed or the law allows, with an easy way to opt out.
- Keep our website working, secure and useful, and prevent fraud and misuse.
- Meet legal obligations, keep business records and enforce our Terms and Conditions.
We won’t use your information for materially different purposes without telling you first and, where required, asking for your consent.
How We Share Your Information
We share personal information only in the following situations:
- Travel suppliers. Airlines, hotels, cruise lines, tour operators, transfer and activity providers, and travel insurers receive only what they need to book and service your trip. For example, airlines need each passenger’s name, date of birth and gender to issue tickets and meet the TSA’s Secure Flight screening requirements. Each supplier’s own privacy policy also applies.
- Service providers. Companies that help us run our business, such as email, hosting, form processing, file storage, payment and analytics providers, who may use it only to work for us.
- People you ask us to include. Travel companions, a group organizer or your employer’s travel contact, when you ask or when it is part of the trip being arranged.
- Legal compliance and safety. When required by law or legal process, or when needed to protect the rights, property or safety of our travelers, our business or others.
- Business transfers. If we are involved in a merger, acquisition or sale of all or part of our business, your information may transfer to the new owner, subject to this policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, meaning ads targeted to you based on your activity across other companies’ websites and apps. We have not done either in the past 12 months, and we do not give personal information to third parties for their own direct marketing.
Payment Card Information
Payments for flights, hotels, cruises and tours are generally processed by the travel supplier itself or by a third-party payment processor, under their own security standards and privacy policies. We do not store full payment card numbers on this website, and our trip planning form never asks for them.
Please don’t send card numbers, security codes or passport scans by regular email or through our website form. When a booking needs them, your consultant will explain how to provide them safely, often directly to the supplier or through a secure payment link.
Cookies and Analytics
Cookies are small text files a website stores in your browser. We use cookies and similar technologies to keep our website working and remember basic preferences, and we may use analytics tools that show us, in aggregate, how visitors use our pages. We do not use cookies to show you targeted ads on other websites.
You can block or delete cookies in your browser settings, although doing so may affect how some pages work.
Where required by law, we treat a Global Privacy Control (opens in a new tab) (GPC) signal from your browser as a valid request to opt out of the sale or sharing of personal information linked to that browser. Because there is no common industry standard for “Do Not Track” signals, our website does not currently respond to them.
Email Communications
Service emails about your inquiry or booking, such as proposals, confirmations and itinerary changes, are part of working with us. Marketing emails, such as seasonal trip ideas, are optional.
In line with the federal CAN-SPAM Act, every marketing email identifies us as the sender and includes a working unsubscribe link. You can also opt out by emailing us, and we honor opt-outs promptly. Unsubscribing won’t stop service messages about trips you are planning or have booked.
How Long We Keep Information
We keep personal information only as long as we need it for the purposes in this policy:
- Inquiries that don’t become trips are kept long enough to follow up, then deleted or de-identified.
- Booking records, such as itineraries, confirmations and invoices, are kept as long as needed to service your trip, handle refunds or disputes, and meet tax and legal requirements.
- Sensitive details, such as passport information, are kept only as long as a booking or legal obligation requires.
After that, we delete information or de-identify it so it can no longer be linked to you.
How We Protect Your Information
We use reasonable administrative, technical and physical safeguards designed to protect personal information, including an encrypted (HTTPS) connection to our website, access limited to people who need it, and service providers that protect data responsibly.
No website, email system or storage method is completely secure, so we can’t guarantee absolute security. If a data breach affects your personal information, we will notify you as required by law. Children’s Privacy
Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13, consistent with the Children’s Online Privacy Protection Act (COPPA).
Many trips include children, though. When a parent or guardian books travel for a minor, we collect the child’s details, such as name, date of birth and passport information, from that adult and use them only to plan, book and service the trip. We do not sell or share the personal information of anyone under 16. If you believe a child under 13 has sent us personal information through our website, contact us and we will delete it.
Your Privacy Rights
Choices Available to Everyone
Wherever you live in the United States, you can:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information, subject to records we must keep for legal, tax or booking reasons.
- Opt out of marketing emails at any time.
California Residents
If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the “CCPA”), may give you the following rights, to the extent the law applies to us and to your request:
- Right to know what personal information we have collected about you, its sources, why we collected it, who we disclose it to, and the specific pieces we hold.
- Right to delete personal information we collected from you, subject to legal exceptions.
- Right to correct inaccurate personal information.
- Right to opt out of sale or sharing. We don’t sell or share personal information, but we will honor any opt-out request, including through GPC.
- Right to limit the use of sensitive personal information. We use sensitive details, such as passport numbers and health-related needs you share, only to provide the services you request and for other purposes the CCPA permits, never to infer characteristics about you.
- Right to non-discrimination. We will not deny you service, charge you a different price or offer a lower quality of service because you exercised these rights.
In the past 12 months, we may have collected these CCPA categories: identifiers (such as name, email and IP address); customer records (such as phone number); characteristics such as age and gender, as airlines require; commercial information (trips requested and booked); internet activity; general geolocation; sensitive personal information (such as passport numbers); and inferences about your travel preferences. Residents of Other States
A growing number of states have comprehensive consumer privacy laws, including Virginia, Colorado, Connecticut, Utah, Texas and Oregon. Depending on where you live and whether a law applies to us, you may have the right to confirm whether we process your personal information and access it; correct inaccuracies; delete it; receive a portable copy; and opt out of targeted advertising, the sale of personal information and profiling that produces legal or similarly significant effects.
We do not sell personal information, use it for targeted advertising or engage in that kind of profiling. We process sensitive data, such as passport details, only as needed for your bookings and with your consent where the law requires. Several of these laws also let you appeal a decision, as described below.
How to Submit a Privacy Request
Email hello@grammarvistas.com with the subject line “Privacy Request.” Tell us what you would like us to do and which state you live in, and include the name and email address you used with us.
Verifying Your Request
To protect your information, we confirm your identity before acting on a request to access, correct or delete it, usually by matching details you give us, such as your email address and trip information, against our records. We use those details only for verification and respond within the time frames required by applicable law.
Authorized Agents
Where the law allows, an authorized agent may make a request for you. We may ask the agent for written permission signed by you and ask you to verify your identity with us, unless the agent holds a valid power of attorney.
Appeals
If we decline your request and your state provides a right to appeal, reply to our decision or email us with the subject line “Privacy Appeal.” We will review it and explain the outcome in writing, including how to contact your state attorney general if you disagree.
International Travel and Data Transfers
When you book international travel, we share the information your arrangements need with suppliers who may be located outside the United States, such as a hotel in Italy or a tour operator in Japan. Destination countries may also require passenger information for entry and security screening, and their privacy laws may differ from U.S. law. We share only what your trip requires. Our website and services are intended for people who live in the United States.
Third-Party Links
Our website links to sites we don’t control, such as the U.S. Department of State, the TSA and travel suppliers. Their own privacy policies apply, and a link does not mean we endorse a site or are responsible for its practices.
Changes to This Policy
We may update this policy as our services, technology or legal requirements change, and we will revise the “Last updated” date at the top of this page when we do.
